How it works

  1. 1Enumerate the after-call checklist explicitly so nothing depends on memory: recap, CRM fields, follow-up draft, tasks for every commitment you made.
  2. 2Produce all of it from the same source. A recap and a CRM update written independently will disagree within a week.
  3. 3Route anything with a side effect through review rather than sending it. The draft is the output; sending is a separate decision.
  4. 4Report what could not be completed and why, so a missing field reads as a known gap rather than as work that silently did not happen.

# Call recap format

A recap is read by someone who was not on the call. Write for them.

## Structure

**One line up top:** what was decided, or that nothing was.

**Commitments** — the only section that always matters.
Each line: *who* · *what* · *by when*. Both sides. If a date was not said,
write "no date agreed" rather than inventing one.

**What we learned** — new facts only. Not a transcript. Three bullets is plenty.

**Risks and open questions** — what could kill this, and what we still do not
know. If a concern was raised and not resolved, it goes here even if the tone
was friendly.

**Next step** — one action, one owner, one date.

## Rules

- Quote the customer where the exact words matter (pricing, scope, timing).
- Separate what they said from what you concluded. Mark inferences as inferences.
- Do not soften bad news. A recap that reads better than the call did is worse
  than useless.
- If the call had no commitments, say that. It is the most important thing on
  the page.

## Length

Under 200 words. If it is longer, the call did not have that much in it and you
are padding.

Frequently asked questions

What counts as after-call work?

The recap, the CRM update, the follow-up email, and a task for every commitment made. It is roughly twenty minutes per call and it is the first thing dropped when the day is full.

Does everything send automatically?

Only what you approve. Most teams run drafts through a review queue for the first few weeks, then promote the ones that stop needing edits.

What if the call had no clear outcome?

Then the recap says so. A call with no commitments is a finding, and burying it under a tidy summary is worse than saying nothing.
